Ship&Crew (“we”, “us”) operates the website ship-crew.net (the “Service”). This Privacy Policy explains what data we collect, why we collect it, and how you can manage it.

1) What we collect

Account & contact data (required for the Service):

  • Email address
  • Password (stored as a secure hash, not in plain text)

Profile data (optional, provided by you):

  • Full name
  • Phone number
  • Position / rank / preferences
  • Any other details you manually enter in your profile

Job alerts data (optional, only if you enable alerts):

  • Search filters for alerts
  • Notification settings (email / Telegram)
  • Telegram chat ID (only if you provide it and enable Telegram alerts)

Application data (only when you apply to a vacancy):

  • The text you enter for an application (message/cover letter)
  • Files you upload (e.g., CV/resume)
  • The destination employer email (if present in a vacancy)

Technical data (automatic):

  • IP address, device/browser info, basic logs for security and debugging
  • Cookies/local storage required to keep you signed in and the site working

2) How we use your data

We use data only to run the Service:

  • Create and manage your account
  • Deliver job alerts you enabled (email and/or Telegram)
  • Send your application email to an employer address, when you choose to apply via Ship&Crew
  • Prevent abuse, protect security, troubleshoot issues, and improve usability

We do not sell your personal data.

3) Legal basis (simple MVP)

Depending on your location, we process data based on:

  • Performance of a service (account, alerts you enable, sending your application)
  • Your consent (optional fields, Telegram chat ID, analytics cookies where required)
  • Legitimate interests (security, preventing abuse, basic performance monitoring)

4) Sharing & third parties

We share data only when necessary:

  • Email delivery providers to send alerts and application emails
  • Telegram to deliver Telegram alerts (only your chat ID and the message content)
  • Analytics tools (see Cookies & Analytics)

Employers receive your application email only when you explicitly apply.

5) Cookies & analytics

We use:

  • Essential cookies for login/session and core functionality
  • Analytics tools (e.g., Google Analytics and Microsoft Clarity) to understand how users interact with the site and improve UX

In the future, we may use advertising tools (e.g., Google Ads). If enabled, additional cookies/identifiers may be used for advertising measurement. We will update this policy accordingly.

6) Data retention

We keep personal data only as long as needed for the Service:

  • Account and profile data: while your account is active
  • Alerts data: while alerts are enabled
  • Application data: stored only as needed for delivery and troubleshooting

MVP retention rule: upon account deletion request, we remove your personal data within 90 days, except where we must keep limited records for security or legal reasons.

7) Your choices and rights

You can:

  • Update profile details in your account
  • Disable alerts at any time
  • Request deletion of your account/data
